DERRY TRACK CLUB
1.1 The name of the club shall be Derry Track Club
1.2 The Club colours shall be a green vest and black shorts.
2.1 The Club shall be affiliated to Athletics Northern Ireland and/or Athletics Ireland.
3.1 Members shall be divided into the following classes:
A) Senior Men (inc masters categories)
B) Senior Women (inc masters categories)
C) Under 18s
3.2 Honorary (g) membership may be offered to individuals who have special qualities likely to benefit the Club and/or in recognition of outstanding achievement.
3.3 All members shall complete an application form and and be accepted at a meeting of the Club Committee.
3.4 The club shall recognise Athletics Northern Ireland’s and/or Athletics Ireland’s value of diversity.
4.1 The object of the Club shall be to promote Athletics.
4.2 The word Athletics for the purposes of these rules shall mean Track and Field Athletics, Road Running and Cross Country Running.
5.1 The management of the Club shall be vested in a Committee that shall consist of a Chairman, Vice-Chairman, Secretary, Treasurer, Welfare Officer (clubs with under 18s/vulnerable adults) together with a maximum of four other members. All the foregoing shall be elected at the AGM and remain in office until the conclusion of the AGM of the following year. Notwithstanding the previous provisions of this clause it is permissible for the Chairman, Vice-Chairman, Secretary or Treasurer to be elected to and take on the post of Welfare Officer as an additional responsibility.
5.2 The Welfare Officer shall be trained to Sport NI Designated Officer level. Other club members will be trained in Safeguarding by Sport NI.
5.3 The Committee shall have powers to co-opt additional members or fill any vacancy that should arise.
5.4 Committee meetings shall consist of a quorum of three members. Meetings shall be called as and when the Committee feels necessary but not less than four per year.
5.5 If a quorum is not present within fifteen minutes of the specified commencement time the meeting shall be adjourned.
5.6 The chairman shall be entitled to a casting vote in the event of a deadlock.
5.7 The Vice-Chairman shall be entitled to act as Chairman in the absence of the Chairman. If neither are present at a meeting, the members shall elect an Acting Chairman from those members present.
5.8 The AGM shall be held, if possible, on or before 1 October each year and the quorum shall be 20% of all paid up members.
5.9 All paid up members of the Club will be notified by the Secretary at least three weeks before the AGM.
5.10 All matters for inclusion in the Agenda of the AGM shall be received by the Secretary at least seven days before the meeting.
5.11 An Extraordinary General Meeting shall be called by the Secretary within 21 days of the receipt by him of a requisition signed by at least two-thirds of the members stating the business to be brought before such a meeting.
6.1 Membership fees will be fixed at the AGM and are payable at the time of joining on a pro-rata basis, save for the element required to register an athlete with Athletics Northern Ireland, and thereafter on 1st January each year. Athlete registrations will be paid to Athletics Northern Ireland within 30 days of the due date (1st Jan) and as new members join thereafter.
6.2 Members who are over 30 days in arrears with fees are not eligible to represent the Club. Athletes who have not paid and are not registered with Athletics NI are not entitled to insurance at any events/training they participate in.
7 Alterations to the Constitution
7.1 The Constitution shall be altered only at an AGM by a two-third majority of members present and voting.
8 Dissolution of Club
8.1 The Club may only be dissolved at an AGM or EGM and by a two-thirds majority.
8.2 The club’s funds and any assets left at the time of dissolution shall be distributed as decided by a two-thirds majority at the concluding AGM/EGM but must be given to another registered CASC, charity or related community sport.
